Level 3 | Permanent
Provide high level administrative, secretarial and Ministerial support to the Executive Director of Biosecurity
Provide assistance with research, policy and project work as directed
Coordinate the preparation and control of draft responses for the Offices of the Director General and Deputy Director General for the Biosecurity directorate
Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery
This is an opportunity for an experienced Executive Assistant to provide a professional level of executive, administrative, research and secretarial support to the Executive Director Biosecurity and executive members of the Office of the Deputy Director General. The Executive Assistant is pivotal in the efficient functioning of the Biosecurity Directorate and operates in a dynamic environment of competing priorities.
Key responsibilities include (but are not limited to):
Providing a range of high level executive support and administrative services including the preparation of agendas and meeting minutes.
Arranging meetings, functions and activities including organising venues and hospitality arrangements.
Providing assistance with research, analysis, policy development and project support.
Coordinating travel, itineraries and accommodation requirements for the Executive Director.
Acting as the point of contact among executive, employees, clients and external stakeholders.
The Ideal Candidate.
We are seeking experienced and motivated Executive Assistants, with a demonstrated background at a senior executive level. The ideal candidates will have highly effective stakeholder engagement skills and be proficient in using Microsoft applications, including Outlook, Word, Excel and PowerPoint. Experience using the Objective records management system will be highly regarded.
