Position Summary:

 

The Event Operations Supervisor - Setup and Technical Services is the primary support system of student workers in the Event Operations Setup and Technical Services areas of University Events. This entails handling all oversight of the execution of both physical equipment and technology needs for events on campus. The person in this position has the primary responsibility of managing the part-time undergraduate, graduate, and full-time seasonal staff who execute facility and technical setup needs, as well as direct customer service support for events.

SUPERVISION EXERCISED: Supervises Event Operations Setup and Technical Services (30+ graduate and undergraduate students, and other seasonal staff as assigned)

 

This is a full-time, 12-month APA position and is subject to the terms of that union agreement.

Essential Duties:

 

1. Supervises and works with a diverse group of part-time undergraduate, graduate, and full-time seasonal staff responsible for facility, technical setups, and preventative maintenance for University Events in order to produce high quality events for the campus. This includes organizing, prioritizing, and scheduling work assignments based on current and future event needs.

2. Quality controls event setups across the University and works hand in hand with a diverse student employee community, coaching and training them directly as needed.

3. Troubleshoots and solves any problems and last-minute changes, and communicates and works with sponsors to provide a high level of customer service for day of events.

4. Utilizing an equity minded lens assists the Events Operations Consultant with hiring, training, scheduling, management, and evaluation of graduate and undergraduate student employees hired in the Event Operations area of University Events.

5. Works alongside various departments and adjusts crew tasks to ensure the safe use of integrated and supplemental equipment, efficient timing for setup, equipment delivery, and preventative maintenance.

6. Manages multiple campus inventories and reviews inventory checks weekly to sustain sufficient levels of resources to support events on campus, and to ensure database accuracy.

7. Makes recommendations to the Events Operations Consultant to increase efficiency, improve quality of service, and motivate all employees to achieve consistently high standards.

8. Serves as the backup for the Events Operations Consultant regarding the Event Operations department of University Events.

9. Manages off-hours and weekend questions related to the event operations unit.

10. All other duties as assigned.

 

Required Qualifications:

To succeed in this role, the candidate will need:

1. Bachelor’s Degree

2. One to two years of experience managing a part-time or full-time staff, including organizing, prioritizing, and scheduling work assignments.

3. Experience training, developing, and mentoring a diverse group of co-workers or employees.

4. Commitment to customer service excellence/support to enhance an environment of equity, diversity and inclusion with the ability to work directly with people from diverse racial, ethnic, and socioeconomic backgrounds.

5. Ability to effectively problem solve by analyzing processes and information, identifying problems and trends, and developing effective solutions.

6. Strong organizational skills, attention to detail, and an understanding of the concepts of providing effective, customer-oriented support services are essential.

7. Ability to demonstrate success in managing multiple projects.

8. Candidate must be able and willing to work a flexible schedule, including nights and weekends as necessary.

 

Preferred Qualifications:

 

1. Experience working in a higher-education setting.

2. Experience overseeing employee recruitment, interviews, and hiring.

3. Basic knowledge of audio-visual equipment as applicable to programs, meetings and events.

4. Experience in event or facility setup operations.

Salary Range: $45,000-$50,000
